Key Purpose of Post

The Department of the Registrar is a busy and demanding work environment with dedicated staff members who are committed to providing a high quality service to the student body. The role of the Academic Administrator in the Assessment and Awards Office is to accurately record, process and communicate student status and assessment results to the appropriate parties with strict confidentiality and with due regard to standards of professional, regulatory or statutory bodies. The post holder provides administrative support from Induction to Graduation.

Key Job Responsibilities

An Academic Administrator in the Assessment and Awards Office will have responsibility for a combination of the duties outlined below.   The post-holder will:

  • Enter records on the various student information systems, check accuracy, follow detailed procedures for same ensuring that accurate and confidential student records are maintained
  • Follow data protection policies and college housekeeping procedures
  • Undertake administrative tasks related to the maintenance of student assessment records in a secure and confidential manner. Such tasks will include but not be limited to:
    • Securely store and maintain module and stage assessment and examination grades in the student record system and any other relevant data
    • Record accurately deferral and withdrawal information and other matters relating to a student’s status
    • Respond to student queries in a timely manner
    • Manage assessment information in College database
    • Assist in the preparation of Broadsheets, transcripts, and European Diploma Supplements certificates as well as other records of achievement
    • Assist with onsite examinations
    • Assist in the return of final results to the relevant professional regulatory statutory bodies including the creation and population of Learner Entry files for QQI
    • Issue invoices for the return of examination or other supplementary fees from student
    • Assist in the issuing of correspondence to External Examiners
    • Ensure the SIS is maintained as the primary source of student information
    • Run Reports
    • Assist with Academic Impropriety Investigations and associated disciplinary hearings
  • Be aware of all quality assurance policies, especially in relation to procedures for the management of students and assuring the quality of student support as well as academic regulations and standards.
  • Attend relevant meetings and record minutes when required
  • Report to the Assessment and Awards Manager and where appropriate liaise with  the  Registrar  and  QA  Officer  on  regulatory  matters  relating  to  academic administration
  • Take minutes of meetings and undertake general correspondence with students and staff
  • Perform any other reasonable duty associated to the role assigned

Key Job Requirements


  •  Leaving Certificate or equivalent
  • Excellent knowledge of Microsoft office in particular Excel
  • Excellent administrative and organisational skills with the ability to prioritise their work and to meet strict deadlines
  • Excellent communication skills both verbal and written
  • Excellent attention to detail a must
  • Ability to work on their own and also within a team
  • Clear evidence  of  self-motivation,  with  an  ability  to  work  under  pressure  as  part  of  a constantly changing working environment
  • Pro-active, enthusiastic and student-oriented approach to work
  • Proven track record of working effectively within a regulatory framework


  • A Level 8 180 or 240 ECTS qualification
  • Experience in a similar role in higher education
  • Familiarity with higher education quality assurance
  • Competency in written and spoken Irish
